Archiving Contracts in Subscription Billing for Dynamics GP

Encore has been working hard to improve the functionality and usability of their products.  One of the features that was added recently to Subscription Billing for GP2015 and GP2016 was the ability to Archive Contracts that are no longer in use – Contracts with a status of Inactive or Expired.

The function of archiving contracts separates inactive / expired contracts from the current contracts – simplifying the managing and maintaining the of active contracts.  When archiving contracts, all the contract header and line information, as well as, all the history of documents created is preserved.   Another advantage of archiving versus deleting is that it prevents that contract number from being used by any new contract.

You also have the ability to reinstate contracts in the event you had accidentally archived a contract.

To archive contracts, open the “Archive and Reinstate Contracts” window (screenshot is provided below) from the GP Button>>Maintenance>>Subscription Billing>>Archive Contracts.  From this window you can choose to archive ALL inactive/expired contracts OR you can enter a range of contracts to archive.
