Dynamics 365 Business Central New Feature | Manage Export to Excel

One of the main reasons organizations choose Microsoft Dynamics 365 Business Central is that there are bi-annual updates and management is done behind the scenes by Microsoft. In Version 16 of Dynamics 365 Business Central released in April, there is one feature that is beneficial for data integrity and management within organizations.

Organizations and admins can now manage which users have the ability to export data out of Business Central to Excel through the user group EXCEL EXPORT ACTION. At the very least we encourage everyone with a Business Central tenant environment to be aware and cognizant of this feature in relation to external user setup within their environment.

Setup and Management

To enable or disable this feature on a user level, search “Users” using the magnifying glass in the top right corner of your Business Central environment and open the user you wish to provide or remove access to export data out of Business Central.

The next step is within the user card, navigate to the user groups fast tab section of the card and search for the user group EXCEL EXPORT ACTION and assign that system wide group to that user.

Within my demo environment I have created a test user named “Megan Barrie” to detail the access before and after.

The screenshot below shows what her chart of accounts page would look like when the EXCEL EXPORT ACTION group is not assigned to her. This user does not have the ability to export data into Excel, which would normally be available in the “Page” section in the ribbon.

After assigning the user group to this test user you can see that she can export the chart of accounts to Excel or Edit the data in real time via Excel.

Important Note: This user group is overwritten if the user is already a SUPER permission set user.
