Functionality in Dynamics GP Compared to D365 Business Central | Management Reporter & Financial Statements
When you’ve worked in Dynamics GP for years, especially if you’re comfortable with Management Reporter, you develop a rhythm for how your financial statements come together. So when you begin planning a transition to Dynamics 365 Business Central, it’s natural to wonder how your financial reporting will change and what aspects will stay familiar.
As many GP users discover, much of the underlying logic is still there in Business Central — but a few important areas work differently. Understanding these changes early helps make the transition feel smoother and reduces surprises during month‑end.

Similarities
One reassuring point for Dynamics GP users is that Dynamics 365 Business Central uses the same core building blocks you’re used to: reports, rows, and columns. Rows still determine which accounts appear, how they roll up, and which descriptions show on your financial statements. Columns still control whether you’re displaying the current period, year‑to‑date, budgets, or formulas.
Many of the familiar formatting details exist as well. You can still control signs on income accounts, build totals, and use account ranges. The overall structure of your income statement or balance sheet can look very much like what you had in GP because both systems rely on natural accounts and flexible row setups to define the layout.
Where Business Central differs is in the mechanics behind certain behaviors. For example, Management Reporter allows subtraction inside row definitions, which makes it easy to include a wide range of accounts while excluding just one or two. Business Central doesn’t offer subtraction inside the row definition. Instead, you create the same result by breaking your ranges into two segments and adding them together. It takes a slightly different approach, but the end result is the same.
Differences
If you rely heavily on reporting trees today, this is where you’ll notice the biggest difference. Management Reporter’s reporting trees allow you to define all your divisions, departments, or locations and generate a full set of reports, including a consolidated roll‑up, in one run. This has been one of MR’s strongest features, and many GP users comment that it’s the thing they miss the most when transitioning.
Business Central does not include reporting trees out of the box. Instead, you handle your different reporting units through your shortcut dimensions. You can filter a statement by department or division, and Business Central recalculates automatically, but each department or division would be its own report rather than a branch of a tree. If you’re used to seeing a single report package with all the units and the consolidated results together, this will feel different.
That doesn’t mean you lose the ability to get the same information; it only means you now access it through separate reports rather than a tree structure. For many organizations, this is enough. For others, especially those with complex roll‑ups or numerous reporting units, this is often where additional reporting tools enter the conversation.
A Closer Look at Drill‑Down
Another noticeable difference is in how you access the underlying transactions. In Management Reporter, you can drill from the statement into the accounts and then into a list of the journal entries that make up the number. In some cases, depending on configuration, MR can open GP, but most people don’t have this set up.
Business Central’s drill‑down is much more direct. When you click a number, you immediately see the GL entries behind it, and you can continue drilling until you reach the source document. “Find Entries” lets you see everything connected to that transaction. Because the reporting is built into the application itself, this all happens without regenerating anything or opening a separate reporting tool.
For many finance teams, this ends up being one of the biggest advantages of Business Central’s reporting.
How Dimensions Fit Into the Picture
In the GP, the account structure includes two dimensions: department and division. Business Central uses shortcut dimensions in a very similar way. Your dimension filters appear directly above your financial statement, so you can switch from one department or division to another instantly. If you prefer ranges, you can enter those as well. The statement updates immediately without needing to regenerate anything.
Because Business Central calculations refresh on the fly, moving between perspectives during month‑end or during a meeting becomes much more fluid.
Exporting and Sharing Statements
Business Central provides several ways to work with your statements outside the system. You can print to PDF, export to Excel using the statement layout, update existing templates, or build new ones. PDFs look exactly like the on‑screen statement, although they don’t support drill‑down. Excel exports preserve formulas and values so you can format or analyze them further.
One of the pain points in Management Reporter is the time it takes to generate a full report package, especially for large datasets or detailed statements. The larger the database, the longer the queue and generation process.
In Business Central, financial statements do not need to be generated. You open the report and the data is there immediately. The performance difference becomes particularly noticeable during busy times like month‑end, when you may need to jump between periods, dimensions, or drill‑downs quickly.
The transition from Dynamics GP to Dynamics 365 Business Central doesn’t take away the ability to produce your financial statements — but it does change how you build and interact with them. Rows and columns will feel familiar, drill‑down becomes significantly more powerful, and dimensions give you quick visibility into different slices of your business.
