Prophix Sharepoint Integration: 5 Ways To Publish to Sharepoint

Prerequisite for publishing documents from PROPHIX to SharePoint:

  • The “service account” user (the user that the ProphixUtilityService web service runs under) needs to be given “Full Control” (minimum) or granted “Site Collection Admin” access on any SharePoint server where documents might be published from PROPHIX.

If this is not done, documents cannot be published to SharePoint. The error may be logged in one of two places:

  • The PROPHIX error log on the client machine will contain “access denied” and/or “unauthorized” message(s).
  • The Application Even t Log on the server where the ProphixUtilityService is installed will contain an entry for the “ProcessExecutionService” with the error “401 – Unauthorized”.

1. Publishing from Template Designer (Report Mode)

  • PROPHIX Data Security – Source data for the document is based on the current user’s cube access (WYSIWYG).
  • SharePoint Publish Security – See “prerequisite” section above.
  • SharePoint Document Security – Document will inherit the security/permissions of the target Document Library.

2. Publishing Report Binders from Document Explorer

  • PROPHIX Data Security – Source data for any templates in the Binder is based on the current user’s cube access.
  • SharePoint Publish Security – See “prerequisite” section above.
  • SharePoint Document Security – Document will inherit the security/permissions of the target Document Library.

3. Publishing Report Binders via the Distribute Process

  • PROPHIX Data Security – Source data for any templates in the Binder is based on the cube access of the user who runs the process via Process Manager or schedules the process to run via Scheduler.
  • SharePoint Publish Security – See “prerequisite” section above.
  • SharePoint Document Security – Document will inherit the security/permissions of the targetDocument Library.

4. Publishing via the Offline Process

  • PROPHIX Data Security – Source data for the selected template is based on the cube access of each individual user in the Distribution List.
  • SharePoint Publish Security – See “prerequisite” section above.
  • SharePoint Document Security – This depends on the “Process Type” selection for the process; either “Review only” or “Review and Contribute”.
  • Review only – Each published document will inherit the security/permissions of the target Document Library.
  • Review and Contribute – Each published document will override the default permissions and be given “custom” permissions within the Document Library. Each user in the Distribution List will be granted “Contribute” access to their personal document (which is based on their cube access) and the “service account” user will be granted “Full Control”. Also, by default, any “Site Collection Administrators” will be able toaccess these documents. All other users will not be able to access Offline documents for other users (since they will be hidden from view).

5. Publishing via an Offline Workflow Task

  • PROPHIX Data Security – Source data for the selected template is based on the cube access of the “Owner” of the workflow task.
  • SharePoint Publish Security – See “prerequisite” section above.
  • SharePoint Document Security – In effect, the “Process Type” (as per the Offline process) is always assumed to be “Review and Contribute”. Therefore, document security is the same as the “Review and Contribute” security mentioned above, for a 1-user distribution list (which is the task Owner).
